Employee Training & Onboarding Assistant

An employee training and onboarding assistant is an internal AI chat agent that trains your staff from your own SOPs and materials. It takes new starters through training in the order you set, answers procedure questions in the chat, checks what they've learned with short quizzes, then stays on as the whole team's knowledge assistant.

What is an AI employee training assistant?

An AI employee training assistant is a private chat assistant built on your SOPs, policies, training documents and video lessons. Only your team can reach it, on Telegram, WhatsApp, Slack or a private web chat. New starters learn from it, everyone asks it how things are done, and questions your material doesn't cover go to a manager.

After onboarding, the same assistant becomes your team's internal knowledge assistant. Anyone can ask about an SOP, a policy or an internal sheet, such as a price list or a contact sheet, without searching a shared drive or interrupting a colleague. If you only need that part, without the training and quizzes, it can be built on its own.

Why does staff training depend on who's free?

Staff training depends on who's free because the answers live in people's heads, not where new starters can find them. Every new starter asks the same questions, and someone senior stops to answer. SOPs and policies exist, but they're spread across shared drives and handbooks nobody reads, so people ask a colleague instead.

  1. The same questions, every hire

Someone senior answers them again for each new starter, so training is only as consistent as whoever happens to be free.
  2. SOPs nobody can find

Procedures sit in shared drives and handbooks, so people interrupt a colleague rather than go looking.
  3. Nobody knows who has learned what

Months later, experienced staff still check procedures with each other, and there's no record of who has finished which training.

How does an AI training assistant onboard new staff?

An AI training assistant onboards new staff by delivering your training in the chat, in the order you set, instead of handing over a folder of documents on day one. It walks them through each procedure step by step, answers questions from your own material, quizzes them after each module and sends anything it can't answer to the right manager.

With an AI chat agent (internal)

A team member messages the assistant on Telegram, WhatsApp, Slack or a private web chat, or a scheduled training step is due

  1. Deliver the training

Training materials and video lessons arrive in the chat, in the order you set.
  2. Walk through procedures

Staff ask how to do something and get your SOP step by step, in plain language.
  3. Answer in the moment

Policy and procedure questions are answered from your own material, at any hour.
  4. Check understanding

A short quiz after each module confirms what's been learned.
  5. Track progress

Where scoped, completed modules and quiz results are recorded, so managers can see who has finished what.
  6. Flag what needs a person

Questions your material doesn't cover go to the right manager, and each one is logged so the gap can be filled.

With AI automations

A new starter is added, a training step falls due or a quiz is completed

  1. Send each step on schedule

The next module goes out when it's due, without anyone remembering to send it.
  2. Record progress

Completed modules and quiz results are written to Airtable or Google Sheets.
  3. Alert managers

A manager hears when someone needs help, and, where scoped, staff who haven't finished a module get a reminder.

Can your team build the assistant themselves?

Yes. If your team already uses Gemini, ChatGPT or Claude, we can teach them to build a training assistant inside the tools they already pay for, through AI Training. A self-built assistant suits a team that wants to run and change it themselves. For Telegram or Slack, progress tracking in a database and manager alerts, we build it for you.

Which systems deliver it?

An employee training assistant is delivered by an internal AI chat agent, which trains and answers your team, and AI automations, which send each training step, record progress and alert managers. If you'd rather your team built and ran it themselves, our AI Training service teaches them to do it in Gemini, ChatGPT or Claude.

Where is it used?

An employee training assistant suits any business that hires regularly, runs shifts or works across sites, where procedures have to be followed the same way by everyone. Clinics use it for front-desk induction, trades and field teams for job procedures, short-term rental teams for turnover checklists, and sales teams to onboard new reps.

Same job, their words

Front-desk induction. New reception staff learn the booking, check-in and patient-handling procedures from the clinic's own documents, and ask the assistant when they're unsure. Anything clinical, or outside the SOPs, goes to the practice manager.

What should you know before you start?

An employee training assistant is only as good as the material behind it. It answers from your SOPs, policies and training content, so we help you structure them during the build, and the questions it logs show quickly where the gaps are. Access is controlled, and anything that needs judgement goes to a person.

  • Your material is the foundation. The assistant answers from your SOPs, policies and training content, and the logged questions show what's missing.
  • It doesn't make up answers. It answers from your knowledge base only, and sends what it can't answer to a manager.
  • Access is controlled. Only the team members you choose can use it, and it only draws on the documents you approve for them.
  • It supports your managers. It doesn't replace them. Anything that needs judgement, or isn't covered by your material, goes to a person.

How would we build it for you?

We haven't deployed an employee training assistant for a client yet. Here's how a build would run: we gather and structure your SOPs and training material, agree the training order and the quizzes with you, set it up on the channel your team already uses, then test it with a new starter's questions before it goes to the whole team.

We have built the self-built version as a demo. In a recorded AI course, we built a "New Hire Buddy" Gemini Gem for a made-up software company: it guides new sales reps through onboarding from four documents, answers their questions, quizzes them and tracks their progress. It runs on a fictional business, not a client's.

Answer

What does an AI onboarding assistant need from us?

An AI onboarding assistant needs the material your team already trains from: SOPs, policies, training documents and any video lessons. We help you structure it during the build, splitting it into small documents by topic with clear headings. You don't need perfect documentation to start; the questions the assistant can't answer are logged, which shows you exactly what to write next.
