Conditional call forwarding

Conditional call forwarding sends calls to another number only when they go unanswered, the line is busy, or it's out of hours. Unlike forwarding every call, it only steps in when you can't answer, so customers keep ringing the number they already know.

How does conditional call forwarding work?

Conditional call forwarding uses your phone carrier's standard settings. You choose the conditions: forward after a set number of rings or seconds, forward when you're on another call, out of signal or switched off, and forward everything outside working hours. The forwarded call then reaches an AI voice agent or another number instead of voicemail.

Forwarding works from a mobile or a landline, and the agent gets its own dedicated number behind the scenes. Your customers never need to know it.

Why does conditional call forwarding matter for a small business?

Conditional call forwarding matters for a small business because a caller who reaches voicemail may never ring back. With forwarding in place, every call you can't take still reaches someone, or an AI agent, that can answer, capture the details and book the next step, while you keep your existing number and answer yourself whenever you can.

Good to know: forwarding depends on your carrier and country. In the US and UK it's straightforward. Some regions, such as the UAE, restrict call forwarding and new business numbers, so we check what's possible first and test forwarding on your actual line before go-live.

What does conditional call forwarding look like in practice?

In a missed-call capture build, we set up conditional forwarding from the business's existing number to an AI voice agent. The agent answers only when nobody else does, captures the caller's name, need and number, and the details land in the CRM with a summary for the team to act on.
