Lead Nurture Sequences

Lead nurture sequences keep following up with every lead who isn't ready yet, for as long as it takes. Before each message, the automation checks whether the lead has already acted, and stops when they have. Follow-up is most frequent early, then spaced out over 10–12 months, and your team is alerted the moment a quiet lead shows interest again.

What is lead nurture?

Lead nurture is following up with leads who haven't bought yet, at a pace that suits them, until they're ready for a sales conversation. An automated nurture sequence does it for you: each lead joins the track that fits them, gets messages by email, SMS or DM, and leaves the sequence the moment they take the next step.

Why do leads go quiet?

Leads go quiet because most don't buy the week they enquire. They download a guide, start a form and never finish it, or say "not yet". Follow-up depends on someone remembering, so it stops after one or two emails, and months later those leads buy from whoever was still in touch.

  1. Follow-up stops after two emails

Nobody has time to chase every lead for months by hand, so most aren't chased at all.
  2. Generic sequences ask the wrong thing

They keep asking people to book a call they've already booked, or sign a form they've already signed.
  3. Interest goes unnoticed

A lead who clicks or replies six months later doesn't reach the right person in time.

How does an automated nurture sequence work?

An automated nurture sequence starts when a lead reaches a stage without taking the next step. Before every message it checks whether they've already done what you're asking. If they have, they move on and the sequence stops; if not, the next follow-up goes out on the right channel. Replies, clicks and bookings re-tag the lead as hot and alert your team.

With AI automations

A lead reaches a stage and hasn't taken the next step, such as received a lead magnet but not booked, or started a sign-up but not finished

  1. Choose the track

Separate tracks per segment, such as buyers and sellers, warm and cold leads, or by interest.
  2. Check before every message

Has the lead already filled in the form, signed the document or booked the call? If so, they move to the next stage.
  3. Taper over time

Most frequent in the first 2 months, then spaced out over 10–12 months.
  4. Send on the right channel

Email, SMS or DM, depending on where the lead came from and what they've agreed to.
  5. React to engagement

A reply, click or booking re-tags the lead as hot and alerts your team.
  6. Keep the door open

The booking link comes back at the right points in the sequence.

For an Australian online fitness coaching business, we built all four tracks in GoHighLevel, with five lead magnet sequences, one for each of its free guides and offers.

How long should you follow up, and how often?

Follow up for up to 10–12 months, most often in the first 2 months and then less often. An example cadence is reminders after 3, 7, 14 and 28 days, then at 3 months and 6 months. Each reminder checks first whether the lead has already acted, so nobody is asked twice. The number of steps and timing are set per build.

For a UK off-market property brokerage, NDA sign-ups, buyer forms and seller forms each have their own reminder sequence on this cadence. Anyone who hasn't finished keeps getting reminders until they do, or the sequence ends.

Can AI reply to the leads it nurtures?

Yes. An AI step can read each reply, classify it as hot, warm or cold, and answer or route it. When the AI isn't sure, it moves the lead to Pending Review, stops messaging and alerts your team, so a person takes over. Match the volume of AI conversations to the size of the team who'll handle the hot ones.

We learned that last point first-hand: on one build, AI prospecting sequences were paused so the lead team could scale up and lists could be qualified more tightly before sending more.

With an AI voice agent (outbound, where scoped)

A key point in the sequence, such as a lead re-engaging

  1. Call the lead

    The agent answers their questions.
  2. Book the meeting

It books straight into your calendar.
  3. Write it back

The outcome goes to your CRM and the sequence carries on or stops.

Which systems deliver it?

Lead nurture sequences are delivered by AI automations in your CRM or in Make.com or n8n, sending by email, SMS and DM, with AI reply handling where it's scoped. An outbound AI voice agent can add a phone call at key points in the sequence, such as when a lead re-engages, to answer questions and book the meeting.

Where is it used?

Lead nurture suits any business where leads take weeks or months to decide. Real estate calls it long-term follow-up or drip campaigns for applicants who aren't ready; coaches nurture after a lead magnet; education providers follow up enquiries until the next intake; and trades follow up on quotes that haven't been accepted.

Same job, their words

Long-term follow-up for buyers and sellers with long decision cycles. An applicant who signed up but never finished the criteria form gets reminders at 3, 7, 14 and 28 days, then 3 and 6 months, and stops hearing from you the moment the form is in.

Proof

What should you know before you start?

Lead nurture is for people who haven't bought yet, and it only goes to people who've agreed to hear from you. Opt-outs stop the sequence automatically. Reminders and win-back for existing customers, and list-wide email campaigns, are separate jobs with their own builds.

  • Leads, not customers. Reminders and win-back for existing customers sit under retention.
  • Consent comes first. Opt-outs stop the sequence automatically, and local rules on SMS and email are followed.
  • Copy is yours. It's written with you and can be changed any time.

Frequently asked questions

Questions

Answer

How long should you keep following up a lead?

Our sequences run for up to 10–12 months, because many leads take that long to decide. Follow-up is most frequent in the first 2 months, then spaced out so you check back in without overwhelming anyone. A lead leaves the sequence as soon as they take the next step or opt out, so nobody is chased longer than needed.
