Sales Call Logging & Transcription

Sales call logging and transcription means every sales call is recorded, transcribed, summarised and written to the right record in your CRM without anyone typing it up. Calls run through a business dialer, an AI step pulls out next steps, objections and deal stage, and managers get searchable transcripts for coaching and handovers.

What is sales call logging and transcription?

Sales call logging and transcription is an automation that records each sales call, turns the recording into a transcript, summarises it and logs the result to the right contact or deal in your CRM. The summary follows your rules, such as next steps, objections, deal stage, sentiment and follow-up dates, so the CRM reflects what was actually said.

It replaces the call notes reps write late, write briefly or never write at all.

Why is your CRM missing what happens on sales calls?

Your CRM is missing what happens on sales calls because it only knows what reps remember to type in. Notes are late, thin or missing. When someone goes on leave, their accounts are a mystery to whoever covers them, and calls made on personal mobiles leave no recording at all.

  1. Notes depend on memory

After a busy day of calls, the write-ups are a line or two, if they happen at all.
  2. Handovers start from scratch

When a rep is away or leaves, the next person has to ring the customer to find out where things stand.
  3. Personal phones leave nothing to review

Managers can't coach on calls they can't hear, and nobody can check what was promised.

How does automatic call transcription work?

Automatic call transcription works in three steps. Calls run through a business dialer that records every call. As soon as a call ends, the recording goes to an AI transcriber, and an AI step pulls out the summary, next steps, objections, deal stage, sentiment and follow-up dates. Then everything is written to the right CRM record.

With AI automations and a business dialer

A sales call ends on your business dialer

  1. Get the dialer right

Calls run through a business phone system such as Twilio, Vonage or GoHighLevel's built-in phone system, so every inbound and outbound call is recorded.
  2. Transcribe

The recording is sent to an AI transcriber as soon as the call ends.
  3. Summarise to your rules

An AI step extracts what your team needs: a call summary, agreed next steps, objections, deal stage, sentiment and follow-up dates.
  4. Log to the CRM

The summary and transcript are written to the right contact or deal, so every account is ready to hand over.
  5. Tell the managers

Daily digests or alerts can go to managers in Slack or by email.

Why does it start with a business dialer?

Call transcription starts with a business dialer because AI can only work with calls it can record. A dialer gives your team business numbers instead of personal ones, records every call automatically and keeps call history with the company when people move on. Customers can still reach their own rep on a direct line.

  • Business numbers, not personal ones. Calls and history stay with the company when someone leaves.
  • Direct lines still work. Numbers can be assigned to a specific rep or client, so customers keep reaching their person.
  • Shared inbound lines. Calls go to whoever is free, and several reps can work from the same numbers at once.
  • Every call recorded, inbound and outbound.

What if a dialer isn't possible yet, or calls happen on video?

If a dialer isn't possible yet, reps can upload recordings through a simple form that feeds the same transcription and CRM pipeline. It works, but relies on reps remembering, so it's a bridge, not a replacement. When sales calls run on Google Meet or Zoom, auto-recording takes the dialer's place.

For an Australian online fitness coaching business, we set up the first part of the video route: Google Meet auto-recording, a call recording link field the closer fills in after each call, and a 1–5 rubric for weekly call reviews. Automatic transcription was recommended as the next step but wasn't part of that build. The coaching CRM case study shows the full system.

Which systems deliver it?

Sales call logging and transcription is delivered by AI automations working with a business dialer such as Twilio, Vonage or GoHighLevel's phone system. The automations handle transcription, summaries and CRM logging. It also works alongside an AI voice agent, whose calls can be summarised and logged in the same way.

Where is it used?

Sales call logging and transcription suits any team where the CRM is only as good as the notes reps remember to write. B2B teams use it for handover-ready accounts, coaching businesses for closer call reviews, recruitment for candidate and client call notes, and real estate teams for keeping track of vendor and buyer conversations.

Same job, their words

Every discovery call and demo is logged against the deal with next steps and objections, so an account executive covering a colleague's patch can pick up an account without a single catch-up call.

What should you know before you start?

Call transcription depends on recording the calls in the first place, so the foundation is a business dialer or auto-recording on your video platform. Upload forms work as a stopgap but rely on reps remembering. Recording calls also carries consent rules that vary by country, which we check with you before anything is switched on.

  • No recording, no transcript. Calls on personal mobiles can't be captured without a dialer or an upload.
  • Consent rules apply. Call recording rules differ by country and state, and callers may need to be told a call is recorded. We agree the approach with you before go-live.
  • Your rules decide the summary. We agree which fields the AI pulls out and where they go in your CRM.
  • Carrier-line capture is a bigger job. Splitting audio off at network level is scoped separately.

How would we build it for you?

We haven't published a full transcription case study yet. Here's how a build would run: we check how your team makes calls today, set up a business dialer or auto-recording, agree what each summary should pull out, connect the transcriber to your CRM, and test the pipeline on real calls before rollout.

Frequently asked questions

Questions

Answer

Do my reps need to change how they make calls?

Usually, yes, a little. To record every call automatically, calls need to run through a business dialer such as Twilio, Vonage or GoHighLevel's phone system rather than personal mobiles. Reps keep their direct lines, and customers keep reaching their own rep. If calls run on Google Meet or Zoom, auto-recording does the same job.
