Referral & Affiliate Tracking

Referral and affiliate tracking gives every customer, partner or affiliate their own link or code, and credits everyone they send to them automatically. Each referral's purchases, bookings or deals are linked back, rewards are worked out from your rules, and referrers can see what their introductions turned into. You see which referrers bring the best business.

What is referral and affiliate tracking?

Referral and affiliate tracking is a system that records who introduced each new customer and what that introduction was worth. Every referrer gets a personal link or code, new contacts arriving through it are tagged with the referrer's name, and their purchases or deals are linked back so rewards and commission can be calculated from your rules.

It works for customers who recommend you to friends, partners who send clients your way and affiliates paid a share of each sale. The same tracking also tags every other contact with its own source, so you can compare referrals with the rest of your lead sources.

Why are referrals so hard to track?

Referrals are hard to track because the answers sit in someone's memory or a spreadsheet updated now and then. Nobody's sure who sent which client, which referrals turned into sales or what each referrer is owed. Referrers chase for updates, disputes come up over who introduced whom, and rewards are paid late or not at all.

  1. Nobody knows who sent whom

Without a link or code, credit depends on a client remembering to mention a name, and they often don't.
  2. Rewards are late or forgotten

When commission is worked out by hand, it's paid late, paid wrong or not paid, and the referrer notices.
  3. Referrers stop sending people

The people who'd happily send more business stop, because nobody thanks them or tells them what happened.

How does automated referral tracking work?

Automated referral tracking starts when someone arrives through a referral link or code. They're tagged in your CRM as Referred, with the referrer's name. Every purchase, booking or deal they make is linked back to that referrer, the reward is calculated from your rules, and the referrer gets a thank-you and updates automatically.

With AI automations

Someone arrives through a referral link or code; after that, every sale, booking or deal they make is tracked

  1. A link or code for every referrer

Customers, partners and affiliates each get a personal referral link or code, created automatically when they join or buy.
  2. Credited automatically

When someone signs up, books or enquires through the link, they're tagged in your CRM as Referred with the referrer's name. Everyone else is tagged with their own source.
  3. Track what happens next

Each referred contact's purchases, bookings or deals are linked back to the referrer, with their value and stage.
  4. Rewards and commission

When a referral converts, the reward is calculated from your rules, whether a fixed fee, a percentage, a discount or a credit, and recorded ready for payment or applied automatically.
  5. Keep referrers engaged

Referrers get a thank-you when someone they sent signs up, and an update when that person buys. Where it fits, they also get a dashboard or portal showing their referrals and earnings.
  6. Ask at the right moment

Happy customers are invited to refer, for example after a 5-star review, a completed project or a repeat purchase.
  7. See who's driving growth

Reports show referrals, conversions and revenue by referrer, so you can reward and nurture your best sources.

Which systems deliver referral tracking?

Referral and affiliate tracking is delivered by AI automations, running in your CRM, your e-commerce platform, a dedicated referral tool or a custom portal, depending on how you sell. Where referrers need their own view, a referrer dashboard can be added as part of a client and partner portal.

Where is referral tracking used?

Referral tracking is used by any business that rewards people for sending new clients. Service businesses track word-of-mouth referrals, agencies and consultancies run partner programs, property brokers pay introducer fees, online shops run refer-a-friend offers, and subscription businesses pay affiliates a share of each sale.

Same job, their words

Introducer fees, tracked. Each introducer gets a link, every buyer or seller they bring is tagged with their name, and their share of the fee on a completed deal is recorded from the fee agreement.

Proof

What should you know before you start?

Referral tracking applies the reward rules you set, and those rules can vary by referrer type, product or deal size. Rewards are calculated and recorded, but paying them, or applying discounts at checkout, uses your existing payment tools. Tracking can run in your CRM, e-commerce platform, a referral tool or a custom portal.

  • Agree the rules first. Who earns what, and when, is written down before the build, so the system and your referrers work from the same terms.
  • Payments stay where they are. We don't move your money; we record what's owed.
  • Every source gets tagged. Non-referred contacts get their own source too, so referral numbers can be compared fairly.

Answer

How do you track who referred a customer?

Each referrer gets a personal referral link or code. When someone signs up, books or enquires through it, they're tagged in your CRM as Referred, with the referrer's name. From then on, their purchases, bookings or deals are linked back to that referrer automatically, so credit never depends on the customer remembering who sent them.
