Invoicing & Payment Reminders
Automated invoicing and payment reminders take the chasing out of getting paid. Each customer or tenant is reminded when their payment is due, whatever day of the month that is, by email, SMS or WhatsApp in your tone. Invoices are generated in bulk from your own template, and renewal invoices are drafted in your accounting software before the date comes round.

What are automated invoicing and payment reminders?
Automated invoicing and payment reminders are automations that work from the due dates, amounts and contacts already in your records. They remind each customer or tenant when a payment is due, create invoices in bulk from your template, and draft recurring renewal invoices in accounting software such as Xero, with payment status synced back.
They run on a calendar: due dates, billing dates and renewal dates. Payments taken online, at a checkout or on a card payment plan, are a different job, covered by payment-triggered workflows, which react to each payment as it happens.
Why do late payments build up?
Late payments build up because chasing them is awkward and easy to put off. When customers or tenants pay on different dates through the month, someone has to track who is due when and send each reminder by hand. Invoices are created one at a time, often copied from the last one, and the admin falls to whoever has a spare hour.
Different due dates, one person keeping track
Every customer or tenant pays on their own date, and the list lives in someone's head or a spreadsheet.Invoices made one by one

Services billed once a year, such as hosting, licences or support plans, are easy to forget until the client asks why they weren't invoiced.
How do automated payment reminders and invoicing work?
Automated payment reminders read due dates, amounts and contact details from your CRM, spreadsheet or other records, then send each reminder on the right day by email, SMS or WhatsApp and log it. Bulk invoicing pulls each customer's billing details and generates the batch from your template, ready for review or sending.

How are recurring renewals invoiced automatically?
Recurring renewals are invoiced automatically from one database of each client's recurring services, prices and next renewal dates. When a renewal date is close, or a project is accepted or completed, an automation creates a draft invoice in your accounting software, such as Xero, moves the renewal date forward 12 months and syncs paid and unpaid statuses back.

Every service on record
Each client's recurring services sit in one database, with the price for that client and the next renewal date. Nothing lives in someone's head.Draft invoices created automatically

A scheduled check pulls paid and unpaid statuses into your database, so you can see who has paid without logging in to the accounting software.
Your accounting software stays the official record, and your bookkeeper reviews and sends the invoices as usual. Reminders before the due date, follow-ups on overdue payments, recurring payment tracking and scheduled financial reports can be added, scoped around your tools.
Invoicing & payment reminders vs payment-triggered workflows
Invoicing and payment reminders run on dates: a payment falls due, a billing date arrives or a renewal comes up. Payment-triggered workflows run on payment events: a card payment succeeds and starts onboarding, or fails and asks the client to retry. Many businesses need both, and they can share the same CRM.
| Invoicing & payment reminders | [Payment-triggered workflows](/use-cases/payment-workflows) | |
|---|---|---|
| Starts from | A due date, billing date or renewal date in your records | A successful or failed payment sent by your payment provider |
| Typical customer | Tenants, monthly service clients, annual renewals | Online checkouts, card payment plans, subscriptions |
| What it does | Reminds, generates invoices in bulk, drafts renewal invoices | Runs the handover after a sale; asks for a retry when a payment fails |
| Where money moves | Your existing payment provider or bank | Your online payment provider, such as Stripe |
Which systems deliver it?
Invoicing and payment reminders are delivered by AI automations, built on tools such as Make.com, n8n or Airtable automations, connected to your CRM, spreadsheet or database and your accounting software. A single reminder workflow is a Core Automation; reminders, bulk invoicing and accounting sync together are an Advanced Automation or a Full Automation System.
| System | Trigger | What it does | Package note |
|---|---|---|---|
| AI Automations | A payment due date | Sends each reminder by email, SMS or WhatsApp and logs it | Core Automation: one workflow, one trigger |
| AI Automations | A billing date or a batch you start | Generates invoices in bulk from your template, for review or sending | Advanced Automation across several tools |
| AI Automations | A renewal date or a project billing stage | Drafts invoices in your accounting software and syncs payment status | Advanced Automation or Full Automation System, with a services database |
Where is it used?
Invoicing and payment reminders suit any business that sends many invoices or chases many payments each month. Landlords and letting agents call it rent reminders. Web design and hosting agencies call it renewal billing. Membership and subscription businesses, and service businesses that bill monthly, use it to keep every invoice on time.
Rent reminders on each tenant's own date. Every tenant gets a polite reminder by SMS or email when their rent is due, and the property manager can see who was reminded and when.
What should you know before you start?
Automated reminders and invoices are only as accurate as the due dates, amounts and contact details they're built from, so we check your data during discovery. Customers still pay through your existing payment provider or bank. The automation handles the reminders and the invoices, and your accounting software stays the official record.
- Your records come first. Outdated contacts or wrong amounts are fixed before anything is sent.
- Payments stay where they are. No new payment provider is needed.
- Your bookkeeper stays in control. Renewal invoices are created as drafts for review.
How would we build it for you?
We haven't published an invoicing case study yet. Here's how a build would run: we check where your due dates, amounts and contacts live, agree the reminder wording and channels with you, connect your invoice template and accounting software, then run a test batch you review before anything reaches a customer.

Frequently asked questions
Questions
Answer
Can it send rent reminders on each tenant's own date?
Yes. Automated payment reminders work from each tenant's or customer's own due date, whatever day of the month that is, so nobody has to keep a list. Each reminder goes out by email, SMS or WhatsApp in your tone, and every one is logged so you can see who was reminded and when.
Does it work with Xero?
Yes. For recurring renewals and billing stages, an automation can create draft invoices in accounting software such as Xero, with the right client, line items and amounts, and a scheduled check syncs paid and unpaid statuses back to your database. Other accounting tools can work too; we check what yours allows on the discovery call.
Will invoices go out without anyone checking them?
Only if you want them to. Bulk invoices can be saved for review or sent straight to each customer, as you prefer. Renewal invoices are created as drafts in your accounting software, so your bookkeeper reviews and sends them as usual. Your accounting software stays the official record.
Do customers need to pay a new way?
No. Customers still pay through your existing payment provider or bank. Invoicing and payment reminders handle the reminders and the invoices, not the payment itself. If you take card payments online and want each payment to trigger the next steps, that's payment-triggered workflows.
Can it chase overdue payments too?
Yes, that can be added. Reminders before the due date, follow-ups on overdue payments, recurring payment tracking and scheduled financial reports are all possible, scoped around your tools and how you work. We agree the timing and wording of each follow-up with you, so it stays polite and consistent.
